Built for this category

Not a generic HR tool with a checkbox for your industry. The workflows, terminology, and reports match how your operation actually runs — because the platform was designed for it from the start.

Connected to payroll

Every event in this module — attendance, leave, timesheet, equipment, incident, performance — flows automatically into the next payroll cycle. No spreadsheet reconciliation, no double entry.

African by design

Statutory rules maintained for all 54 African countries, bank payment files in each country's format, WhatsApp delivery, multiple languages, offline-capable mobile app for field workers.

The problems we hear most

If any of this sounds familiar, you're in the right place.

These are the recurring conversations with buyers in this category. We built the platform to retire each of them.

Your reps start the day in different towns. Head office only finds out who actually worked when the weekly report arrives, and by then it is too late to ask.

Visit reports are typed up at night from memory. A list of twelve shops visited is easy to write and hard to check.

Commission, bonuses and daily allowances are agreed on WhatsApp and paid from a spreadsheet. When a rep disputes the amount, nobody can show what it was based on.

Fuel, transport and lunch receipts arrive in an envelope at month-end, half of them faded. Claims are paid late, or paid without proof.

Reps move on quickly. Every new hire needs a contract, statutory numbers and the app on their phone, and every leaver still has a company phone to hand back.

You sell in more than one country, and each country's reps are paid on a different payroll, under different tax rules, by a different person.

What's built in

Features your team will actually use.

Specific tools for this category — not generic HR repackaged. Each card describes what the feature does and how it fits the way you work.

01

GPS clock-in from the field

Reps clock in and out on the mobile app or the web. The GPS position is saved with every punch and matched to your sites, and field clock-ins go to the supervisor for approval. A photo can be taken at the punch, and punches made without signal are sent when the phone reconnects.

02

Timed customer visits

A rep starts a field activity on arrival at a customer and ends it on leaving. Start and end each carry a time, a GPS position, an address and an optional photo, and the duration is worked out on the server. You define the activity types: customer visit, merchandising, delivery, or your own.

03

Team map and route history

When a rep switches field tracking on in the mobile app, the phone records a position every few minutes or when they have moved. Managers see each rep's last known position and can draw any day's route on the map.

04

Commission and bonuses on the payslip

Add commission and bonuses to a rep's pay as earnings of their own, with the dates they apply from and to. Each one is a separate payslip line, and tax and statutory deductions are worked out on it under the rules of the rep's country.

05

Field allowances from logged visits

HR generates field allowance claims from the logged field activities, at the daily rates you set per country and activity type. Approved claims are added to the next payroll run. A day with no rate set is skipped and shown to HR, not paid at zero.

06

Expense claims with receipt photos

Reps submit fuel, transport, meals, communication and accommodation claims from the mobile app, with a photo of each receipt. The supervisor approves, and approved claims are reimbursed in payroll, added to net pay rather than taxed as salary.

Go deeper on GPS field tracking for sales reps (customer visits, route history, offline sync) and on payroll, where commission, field allowances and expense claims are paid.

Why modules aren't enough

Every event is wired to the next.

Most HR systems sell modules as separate products — and then your team spends every month reconciling between them. SmartHR Africa is one system. Each event in this category flows automatically into the right downstream process.

GPS clock-in Attendance record

Every punch carries a time, a GPS position and, if you ask for one, a photo. Field clock-ins wait for the supervisor, who can approve them from the mobile app.

Customer visit Field allowance claim

Logged field activities become one allowance claim per rep per day, at the rate for the rep's country and activity type. Approved claims are paid in the next run.

Receipt photo Expense reimbursement

A claim submitted from the phone goes to the supervisor. Once approved, it is paid back through payroll, added to net pay.

Commission amount Payslip line

Commission and bonuses entered for the month are taxed under the rep's country rules and shown as separate lines, so the rep can see exactly what was paid.

Sales targets Appraisal

Weighted KPIs with targets and actual achievement feed the appraisal score that the rep and the supervisor rate.

Approved payroll Bank payment file

Each pay run produces a bank payment file in your bank's format, and reps open their payslips in the mobile app.

Yes, while field tracking is on. Every clock-in records one GPS position. Continuous tracking is a switch in the mobile app that the rep turns on for field work: the app first explains what is collected and why, and the phone shows a notification while tracking runs. Supervisors see only their direct reports; HR sees the employees in its scope.
Each visit is a timed field activity. The start and the end each record the time, the GPS position and address, and an optional photo, and the server works out the duration — the rep cannot type it in. Managers see the visits in a list and on a map. A visit verification PDF and a coverage report of places visited are also available, depending on your plan.
Yes. Clock-ins, field activities and tracked positions are saved on the phone and sent when the phone is back online. Each queued punch has its own ID, so a retry does not create a duplicate. Punches that reach the server more than 30 days late are refused and need manual entry by HR.
No. SmartHR does not hold your sales or invoicing data. Work out commission in your sales system or spreadsheet as you do today, then enter the amount as a commission earning for the rep. Payroll applies tax and statutory deductions to it and shows it as its own line on the payslip.
You set a daily rate per country and per activity type. HR generates claims for a date range from the field activities reps logged — one claim per rep per day. Claims are approved and then added to the next payroll run. Days with no rate set are listed for HR rather than paid at zero.
Yes. In the mobile app a rep adds each expense with its category, amount and date, and takes a photo of the receipt. The supervisor approves or rejects the claim, and approved claims are paid back through payroll on top of net pay.
Yes. Set each rep's targets as weighted KPIs in an appraisal cycle, or apply a KPI template to everyone in a department or job title. Record the actual achievement against each target, and the rep and the supervisor rate it in the appraisal.
Yes. Each country's payroll runs under that country's law, with statutory deductions maintained for 54 African countries and a bank payment file in each country's format. Country HR can be limited to its own country, while head office sees every country.
